1. About These Terms

These Terms and Conditions govern your use of Slough Travel Clinic’s website and the healthcare services we provide from our clinic in Slough, Berkshire. By booking an appointment, purchasing a vaccination, or using our website, you confirm that you have read, understood, and agreed to these terms in full.

Slough Travel Clinic is a private travel health provider operating in accordance with UK healthcare regulations. We are not an NHS service. All consultations, vaccinations, and travel health products we offer are provided on a private, fee-paying basis unless stated otherwise.

2. Our Services

Slough Travel Clinic provides travel health consultations, travel vaccinations, antimalarial prescriptions, health certificates (including yellow fever certificates), and related travel medicine services.

Our clinical team includes qualified travel health nurses and practitioners with recognised competencies in travel medicine. All vaccine administration and prescription services are carried out by appropriately registered healthcare professionals, regulated by the Nursing and Midwifery Council (NMC) or the General Pharmaceutical Council (GPhC) as applicable.

We reserve the right to decline to provide any service where, in the clinical judgement of our practitioners, it would not be appropriate, safe, or in your best interests to do so. Clinical decisions made by our team are made in good faith and in accordance with the latest Public Health England (UKHSA) guidelines and the Faculty of Travel Medicine’s current recommendations.

3. Appointments & Bookings

3.1 Making a Booking

Appointments can be made online via our booking system, by telephone, or in person at our clinic. A booking is only confirmed once you have received a confirmation communication from us. We recommend booking your travel health consultation no fewer than six to eight weeks before your intended departure date, particularly for destinations requiring multiple-dose vaccine courses or yellow fever certification.

3.2 Late Arrivals

Please arrive on time for your appointment. If you arrive more than 10 minutes late, we may not be able to complete your full consultation and may need to rebook you. This is to ensure fairness to other patients and to maintain the quality of care we provide.

3.3 Cancellations & Rescheduling by You

We ask that you give us a minimum of 24 hours’ notice if you need to cancel or rearrange your appointment. Cancellations made with less than 24 hours’ notice, or failure to attend without notice (a DNA Did Not Attend), may result in a cancellation fee being applied, details of which are available at the time of booking.

3.4 Cancellations by Us

In the unlikely event that we need to cancel or reschedule your appointment for example, due to unforeseen clinical circumstances or staff unavailability we will contact you as promptly as possible and offer you the earliest available alternative appointment or a full refund of any pre-paid fees.

4. Fees & Payment

All fees for consultations, vaccinations, and travel health products are clearly displayed at the time of booking and on our pricing pages. All prices include VAT where applicable and are subject to change. The price you are quoted at the time of booking is the price you will pay, provided your appointment takes place within a reasonable timeframe from the original booking date.

Payment is typically required at the time of your appointment unless otherwise agreed. We accept major debit and credit cards. We do not accept cheques.

Private medical insurance is not directly billed by Slough Travel Clinic. However, we can provide an itemised receipt upon request to support any personal insurance claim you wish to make with your insurer.

5. Informed Consent

Before any vaccination or clinical procedure is carried out, our practitioners will explain the purpose, benefits, and potential risks or side effects involved. You will be asked to give your informed consent prior to treatment. You have the right to ask questions and to decline any vaccine or treatment at any point.

For patients under the age of 18, written consent from a parent or legal guardian is required before any vaccination or clinical treatment can be administered. Patients aged 16 and 17 may provide their own consent where they are assessed as Gillick competent, in accordance with UK law and NHS guidance.

No vaccination will ever be administered without appropriate consent having first been obtained.

6. Medical Accuracy & Your Responsibility

Travel health recommendations are based on the personal and medical information you provide to us during your consultation. It is your responsibility to provide accurate, complete, and up-to-date information about your health, medical history, current medications, allergies, and travel itinerary. Incomplete or inaccurate information may affect the appropriateness of the advice and vaccinations we provide.

Slough Travel Clinic cannot be held responsible for any adverse outcomes arising from information you have withheld or failed to disclose during your consultation.

Travel health requirements can change rapidly in response to global disease outbreaks, government advisories, or destination-specific health risks. Whilst our team endeavours to provide advice based on the most current UKHSA and World Health Organisation (WHO) guidance, we strongly recommend you also check the Foreign, Commonwealth & Development Office (FCDO) travel advisories and NHS Fitfortravel resources prior to and during your trip.

7. Antimalarial Medications

Antimalarial prescriptions are issued by our qualified prescribers following a full consultation. Suitability of a particular antimalarial is assessed on an individual basis, taking into account your destination, itinerary, medical history, and any medications you are currently taking.

Antimalarial medications purchased from Slough Travel Clinic are non-refundable once dispensed, in accordance with UK pharmacy and medicines legislation.

We strongly advise that you begin your antimalarial course strictly in accordance with the instructions given by your practitioner. Any queries about side effects or interactions should be raised with our clinical team or your GP promptly.

8. Refunds & Complaints

8.1 Refunds

Consultation fees are non-refundable once an appointment has taken place. Vaccines that have been administered or drawn for administration cannot be refunded. Unused, unopened products may be considered for a refund at our discretion, subject to storage and cold chain requirements having been maintained.

8.2 Complaints

We take every complaint seriously. If you are dissatisfied with any aspect of your care or experience at Slough Travel Clinic, please raise the matter with us in the first instance by contacting our clinic directly. We aim to acknowledge all complaints within two working days and to provide a full response within 20 working days.

If you remain dissatisfied after our internal process has been exhausted, you have the right to escalate your complaint to the relevant regulatory body, including the Care Quality Commission (CQC) or the relevant professional regulator depending on the nature of your concern.

9. Website Use & Accuracy

The information published on the Slough Travel Clinic website is intended for general informational purposes only and does not constitute medical advice. It should not be used as a substitute for a personalised travel health consultation with a qualified practitioner.

11. Limitation of Liability

To the fullest extent permitted by applicable UK law, Slough Travel Clinic’s liability for any claim arising from our services shall not exceed the total fees paid by you for the specific service in question.

We do not accept liability for travel disruptions, visa refusals, border entry decisions, or any consequential losses arising from travel health advice provided in good faith, whether relating to vaccination records, exemption letters, or clinical recommendations.

Nothing in these terms shall limit or exclude our liability for death or personal injury caused by our negligence, fraud, or any other matter for which liability cannot lawfully be excluded under UK law.

12. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these terms or from services provided by Slough Travel Clinic shall be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to These Terms

We reserve the right to update or amend these Terms and Conditions from time to time, including to reflect changes in clinical guidance, regulation, or our service offering. The most current version will always be published on our website, with the date of last revision clearly shown. Continued use of our services following any update constitutes your acceptance of the revised terms.
